Important District Update: COVID-19

This message is sent with hopes that you are healthy and well. Please know that your District Trio is aware that you have been working hard to overcome the recent challenges despite the escalating impact of the Coronavirus disease (COVID-19) on individuals and communities both inside and outside of Toastmasters.
The Board of Directors met on Saturday, March 14th to discuss options to protect and support our members. After much deliberation, the Board made the following decisions regarding current and upcoming District events, effective immediately:
  • Area, Division, or District events can no longer be conducted in person, on or prior to June 1, 2020. As an alternative, we encourage Areas, Divisions, and Districts to host events online to help clubs and members through this difficult time.
  • Each District must conduct its Annual District Council Meeting online, rather than in person, on or prior to June 1, 2020. More guidance on conducting an online Annual District Council Meeting will be forthcoming.
  • Each District Executive Committee is authorized to determine whether they will continue to conduct or cancel Speech Contests for the 2019–2020 contest cycle. Each District is responsible for notifying World Headquarters of their decision.
Having said that, it is with sincere regret that the 2020 Annual Conference is cancelled. Plans for an event to recognize the hard work and accomplishments of our members and teams are being developed for late summer/early fall 2020.
A special meeting of the District Executive Council has been scheduled for tomorrow evening to discuss whether or not we will continue to conduct contests or to cancel them for this year. Please feel free to email us–the Trio and/or your division/area directors–with any thoughts regarding this before 6:00pm, Tuesday, March 17th.
Please be assured that if it is decided that contests will continue, all members of the District leadership team will make it their top priority to research and understand how to run a contest in an online/virtual format.
Furthermore, our Annual District Council (Business) Meeting will also be held virtually on Saturday, May 16, 2020 beginning at 9:00am. The Annual Business Meeting is important in that it lets your club’s voice and needs be heard. You will hear from District 65 leadership and vote on district business that impacts your club. More details on how you can attend and participate are forthcoming.
Club Meetings
On March 12, 2020, Toastmasters International announced that due to COVID-19, “all clubs in all Districts can meet entirely online, as needed.” We understand that this may be a challenge for some, but feel that we can make this a silver lining. Think back to the beginning of your Toastmasters journey. For many, we had to step out of our comfort zone and learn that to be vulnerable, we can grow. For those members who are uncomfortable with technology, by temporarily converting to online virtual meetings we can learn new skills as well as be able to welcome members who may have had some conflict with attending regular club meetings in person.
To support this change, the District will assist with resources to make this a smooth and simple process. District 65 already has clubs who integrate a virtual format in their meetings. This is also a great way to visit other clubs and support them by taking on a role, or delivering a speech. We have created a Workplace Group for you to openly invite other D65 members to join the fun and attend.
